Job Summary

We’re seeking a capable Operations Associate to help the team obtain resources and work more effectively. 

You will be assisting the COO and CEO individually as well as handling company-level needs and projects. The responsibilities in this role will significantly ramp up after 8 months as we transition from our research lab into a demo site, so we need someone who can demonstrate the ability to quickly learn, grow, and step up to challenges. 

This is a full-time position in Menlo Park, CA. We accept local applicants with the status for US employment.

Activities now

  • Manage expense tracking, shipping, and packages

  • Support C-level executives in scheduling, traveling and conference booking

  • Develops templates for reports and presentations 

  • Organize physical and electronic files

  • Administrative tasks: print, scan, mail, organize invoices, fill out forms, set up accounts

  • Maintain a clean, organized, and efficient office environment

  • Maintain inventory of snacks, beverages, office supplies, and tools

  • Suggest improvements in operational infrastructure 

  • Organize logistics for events 

  • Routine lab tasks: tally waste, inspect safety and security equipment, upload SDSs, post safety signs

  • Conduct onboarding sessions for new team members

  • Acquire resources or equipment 

Activities beginning March 2020

  • Understand facility requirements, inspect potential demo facilities, and report back on specs 

  • Source equipment based on required specs

  • Make a comprehensive list of changes that are required for the facility 

  • Oversee construction/renovation contractors to ensure the work is done timely and correctly

  • Propose a plan for how moving will be done and organize logistics

  • Conduct permitting research for the demo site

  • Relocate current services and set up new ones


  • Bachelor's Degree

  • Independent problem solving

  • Highly adaptable and able to thrive in an agile environment 

  • Excellent written and verbal communication skills

  • Highly organized with strong attention to detail

  • Self-motivated and reliable

  • Proven ability to handle sensitive and confidential information with discretion

  • Highly skilled in multitasking, prioritization, and planning

  • Experience using Google Apps (Gmail, Calendar, Drive, Sheets, Docs, etc.)

  • Proficiency in MS Office (Excel, PowerPoint, Word)

  • Car ownership and ability to drive to run errands when needed
